Position: Receptionist
Major Duties of Position
Performance Standards/Expectations
Greets customers
  • Opens office promptly at 8:00 a.m.
  • Consistently conveys friendly, helpful, professional manner
  • Provides accurate information
  • Demonstrates a customer service orientation
  • Secures back-up for times of absences from desk
Answers phones
  • Answers phone within three rings
  • Answers with friendly greeting
  • Speaks clearly and distinctly
  • Uses all functions of phone (hold, transfer, etc.)
  • Is knowledgeable and customer service oriented
  • Takes messages accurately and completely
  • Provides for phone coverage when away from desk
Receives and distributes incoming mail; prepares outgoing mail
  • Sorts and date-stamps incoming mail 
  • Distributes to individual mailboxes accurately and in timely fashion
  • Logs in packages and notifies recipients
  • Prepares FEDEX and UPS documentation correctly and notifies appropriate carriers of pick-ups
  • Takes outgoing mail to mail room to meet a.m. and p.m. pick-up times
  • Forwards mail as needed
Duplicates materials
  • Accurately duplicates all materials within 4 hours of receipt or as requested on an emergency basis
  • Carefully collates and staples materials to assure professionoal appearance
  • notifies staff of completed orders
  • Clears paper jams and responds to machine problems
  • Determines necessity for and places service calls in timely fashion

Position:  Department Secretary

MAJOR DUTIES OF POSITION PERFORMANCE STANDARDS/EXPECTATIONS
Prepares letters and correspondence regarding department matters
  • All correspondence is formatted correctly on appropriate stationary
  • Correspondence contains no typographical errors
  • Letters and correspondence have correct attachments
  • All correspondence is prepared upoon request, within one day of receipt or within established deadlines
  • Handling of correspondence meets the needs of the Director and the correspondence recipient
  • All Correspondence is handled in a timely manner and employees of the department are kept informed
Maintain supplies needed for training and information packages
  • An appropriate amount of department materials and supplies are ordered and stocked in a timely manner
  • Special requests for materials and supplies are handled with a timely manner or within established deadlines
  • Supplies are not allowed to run out and sufficient stock is available for training and information packages needed by others in the department
  • Training and information packages are photo-copied and assembled in a professional manner
  • Supply orders are filed for reference in a systematic manner.
