Faculty Organization Computer Committee
Campus Computer and Printing Policy, 11/9/01
Goal
It is an IUN campus goal to provide to all faculty, staff and students, all necessary computer and printing capabilities required to perform their organizational functions effectively and efficiently. Campus computer and printing capabilities will consist of a mixture of computers, networked laser printers and desktop printers.
Campus Computers
- Instructional laboratories & Student Technology Centers will be replaced with new, state-of-the-art equipment on a schedule recommended by the IUN Computer Committee based upon a 3 to 4 year "Life Cycle" funding approach. Depending upon use of the lab, either IBM compatible or MacIntosh equipment will be deemed appropriate.
- When a laboratory is scheduled for replacement, Information Technology Services (ITS) will prepare specifications for the new equipment for review and approval by the IUN Computer Committee. If a detailed Request for Proposal is necessary, ITS will prepare it and put it out for bids. ITS will recommend a choice from submitted bids to the IUN Computer Committee for approval.
- Replacement of full-time equivalent academic faculty and staff computers will also occur based on a 3 to 4 year "Life Cycle" funding approach. Requests for additional computers or replacement of individual desktop computers prior to the end of the 3 to 4 year "Life Cycle" and after the warranty has expired should be made directly to the Dean/Director of the academic/staff unit. The Dean/Director then forwards such requests to the Executive Vice Chancellor of Academic Affairs with justification for replacement. ITS personnel DO NOT make decisions concerning whether a new computer system or a prematurely failed computer system will be replaced.
- Any new "Life-Cycle" funded computer system, or one allocated to a different user, will undergo an OS, applications system and network configuration purging and re-installing of these components before re-assignment.
- Setup, service, repair, replacement and supervision of warranties for "Life-Cycle" funded computer systems will be the responsibility of ITS personnel.
Networked Laserjet Printing
- Instructional laboratories and Student Technology Centers will be equipped with networked laserjet printers in quantities necessary to adequately support instructional requirements. Printers requested for color printing, large-format printing, or other specialized purposes for laboratory use must be approved in advance by the Executive Vice Chancellor of Academic Affairs.
- Each major academic unit will be equipped with networked laserjet printing capabilities to support large print jobs, and repetitive small jobs, with duty cycles appropriate to the size of the unit and the volume of work
- Setup, service, repair, replacement and supervision of warranties of networked laserjet printers will be the responsibility of ITS personnel. Replacement will occur automatically, based upon a 5-year "Life-Cycle" funding approach.
Desktop Printing
- "Life-Cycle" funded desktop printers are intended only for occasional, small-job purposes, or where color printing or highly secure printing is a necessity. Frequent, repetitive, or large job printing should be sent to networked laserjet printers. Excessive use of desktop printers will cause premature failure, and exceed the resource capabilities of the campus.
- Setup, service, repair, replacement and supervision of warranties of "Life-Cycle" funded desktop printers will be the responsibility of ITS personnel. Replacement will occur automatically, based upon a 3-year "Life-Cycle" funding approach.
- While within their warranty periods, desktop printers will be replaced under that warranty, regardless of usage.
- Inappropriate use of "Life-Cycle" funded desktop printers that produce premature failure after the warranty has expired may lead to that printer not being replaced.
- Requests for replacement of "Life-Cycle" funded desktop printers prior to the end of the 3-year "Life-Cycle" for that printer and after the warranty has expired should be made directly to the Dean/Director of the academic/staff unit. The Dean/Director then forwards such requests to the Executive Vice Chancellor of Academic Affairs with justification for replacement. ITS personnel DO NOT make decisions concerning whether a prematurely failed desktop printer will be replaced.
Additional Computers, Computer Components and Printing Capabilities
- Any academic/staff unit MAY request additional computers, computer components, networked printers, desktop printers or other specialized capabilities in support of its mission. Such requests must be made through the appropriate Dean/Director to the Executive Vice Chancellor of Academic Affairs with justification. These additional capabilities must be approved by the EVC in order for them to be built into the "Life-Cycle" funding process, and to assure that setup, service, repair, replacement and supervision of warranties will be provided by ITS personnel. ITS personnel will also assist with the selection of the appropriate equipment and vendor for the specialized purpose.
- Any academic/staff unit MAY purchase additional computers, computer components, networked printers, desktop printers, or other specialized capabilities as it sees fit. However, setup, service, repair, replacement and supervision of warranties become the responsibility of the unit, NOT of ITS personnel.
