Welcome to the first issue of the Administrative Council's online Newsletter!

IU Northwest current events

 

The general purpose of the newsletter is to update the IU Northwest community on some of the recent and planned activities/projects of the administrative units that make up Administration at IU Northwest, including Environmental Health and Safety, Human Resources, Institutional Research, Physical Plant, Purchasing and General Stores, and University Police. We hope to produce the newsletter on a regular basis, every August and December.

 

After an extremely challenging 2008-2009 academic year, which included experiences with major campus flooding, a particularly severe winter, and an outright pandemic, those of us in Administration responsible for campus facilities, safety and security are looking forward to what we hope will be a less challenging new academic year. Less challenging, of course, doesn't mean less complicated or involved, as the listings in the newsletter regarding the units' planned projects and activities demonstrate.

Program Evaluation

One thing that the Adminstrative Council seeks to do more often and more effectively is unit/program evaluation designed to improve unit efficiences and the quality of services. For example, Physical Plant has had online for some time a Customer Satisfaction Survey evaluating the response of the Physical Plant staff to work order requests:

Recently, Physical Plant added an additional Customer Satisfaction Survey, which is designed to gauge the level of satisfaction of the campus community with Physical Plant Building Services:

The new survey asks those completing the survey to consider their level of satisfaction based on the established Building Services’ Frequency Schedule for cleaning, which provides the schedule for the frequency of specific cleaning efforts on a daily, weekly, etc. basis.  So that the director can determine more precisely any areas in need of improvement, the survey asks for the level of satisfaction for work done in a particular building and room on campus.  However, an opportunity also exists to set out overall satisfaction and to provide suggestions and/or general comments regarding Building Services.  The survey can be taken multiple times, as well, to provide input on several buildings and rooms.

Participation in the WIGs/Lead Measure Process

All of us across the campus are working on our unit WIGs and Lead Measures.

Without getting into the technical goals and deliverables, some of the general WIGs/lead measures currently being worked on by units within Administration will enhance our overall campus goals by: (1) assisting in improving the overall safety and well-being of the campus community/environment through increasing the time spent providing audit, consultation, and training services on environmental, health and safety issues; (2) reviewing the current operational structure of all units within Physical Plant with an eye toward developing and implementing a structure that enhances more efficient operations; (3) increasing the awareness of IU Purchasing Policies and providing training on EPIC to new employees and procurement card holders; (4) assuring the successful completion of Performance Management reviews by staff department heads; and (5) increasing the Institutional Research time spent on continuous improvement projects.

What We Do: The units within the Office of Administration seek to assist the academic units and others on campus through the coordination of planning for capital construction, repairs and renovations; management of the operation and maintenance of campus facilities and grounds; engagement in activities that enhance the institution’s human resources, procurement processes and tools, and data inventory; and development of policies and procedures and engagement in operational activities that promote campus health, safety, and security.
